Charlotte County Community Services offers a variety of rental spaces for public use, including meeting rooms, pavilions, open spaces, and special event areas. Facilities are available on a first-come, first-served basis, subject to availability. Insurance may be required depending on the type of rental or event.

Rental fees to users for reserved exclusive use are based on the following categories.
Category 1 (Individuals/Nonprofit Organizations): Individuals renting facilities for private functions or recreational classes or nonprofit organizations renting facilities for organizational functions, charitable fundraising, or maintenance of the organization.
Category 2 (Commercial): Businesses or individuals renting facilities for advertising, publicity, sales, or other for-profit purposes.
In accordance with Florida Statute 212.031, sales tax will be collected on all facility and pavilion rentals. Organizations requesting tax-exempt status must provide proof of exemption, such as a Form DR-14, at the time of booking.
Booking Requirements
- Reservations may be made up to one (1) year in advance.
- Reservations must be made at least 14 days prior to the event date.
- A 25% deposit is required to secure indoor facility rentals. The remaining balance is due 14 days before the reservation date.
- Pavilion rentals are limited to one rental per day per location to allow time for cleaning and preparation.
- Full payment is required before a permit is issued for outdoor facility rentals, including:
- Pavilions
- Open spaces
- Gazebos
- Outdoor classrooms
- Amphitheaters
Damage Deposit
- One-time events with more than 30 attendees
- Events where alcohol is permitted
The deposit must accompany the signed rental contract and will be refunded following a satisfactory facility inspection.
Insurance Requirements
Facility, shelter, or open space rentals may require insurance coverage. Insurance requirements vary depending on the nature of the activity, program, or event.
Alcohol Policy
- In any County parks and recreation facility located within a Community Redevelopment Area (CRA)
- Between sunset and sunrise in all other parks and recreation facilities
- A county lease
- Outdoor festival license
- Temporary use permit
- Similar county-approved event permit
- The minimum pavilion rental period is four (4) hours, in accordance with the Charlotte County Board of County Commissioners approved fee resolution.
- Pavilion reservations apply only to the pavilion itself and do not include exclusive use of surrounding park amenities or areas.
- Additional open space may be rented separately for activities such as bounce houses.
Pavilion Rules
- Public access to parks may not be restricted.
- Admission fees may not be charged.
- The sale of food to the public is prohibited.
- Glass containers are prohibited.
- Music may not be played before 9 a.m. or after 9 p.m.
- Noise levels must comply with Charlotte County Noise Ordinance 94-02.
- Parking fees, where applicable, are not included in rental fees.
- The pavilion and surrounding area must be left in the same condition as upon arrival.
- All posted park rules must be observed.
Cancellation Policy
- Cancellations made more than five (5) weeks before the reservation date may receive a full refund.
- Cancellations made between two (2) and five (5) weeks before the reservation date will forfeit 25% of the rental fee.
- Cancellations made within two (2) weeks of the reservation date will forfeit 100% of the rental fee.
- Cancellations made more than two (2) weeks before the reservation date may receive a full refund.
- Cancellations made between one (1) and two (2) weeks before the reservation date will forfeit 25% of the rental fee.
- Cancellations made within one (1) week of the reservation date will forfeit the full rental fee.
These policies are approved by the Charlotte County Board of County Commissioners.
